This Privacy Policy explains how Offhand AI (“we,” “us,” or “our”) collects, uses, and shares information when you visit offhandai.co or talk with our AI assistant. We keep this simple and honest, because that is how we run our business.
Who we are
Offhand AI is a small business based in Arlington, Virginia. We build AI automations and agents for other small and medium businesses. You can reach us anytime at spencerlibby@offhandai.co.
Information we collect
Information you give us. When you contact us, fill out a form, or talk with our AI assistant, we may collect your name, email address, phone number, and anything you choose to tell us about your business or your needs. Conversations with our AI assistant. Our website has an AI voice assistant named Ava. Ava is an AI, not a person, and she says so. When you talk with her, your conversation may be recorded and turned into a text transcript so we can follow up with you and improve how she works. Scheduling information. If you book a call with us, we collect the details needed to set up that meeting, such as your name, email, phone number, and the time you choose. Information collected automatically. Like most websites, our site may collect basic technical information through your browser and cookies, such as general usage data. This helps the site function and helps us understand how visitors use it.
How we use your information
We use the information we collect to respond to you and answer your questions; schedule and hold calls you book with us; follow up with you about our services; provide, run, and improve what we offer; and keep our website and our AI assistant working well. We do not sell your personal information.
How we share your information
We use a few trusted outside services to run our business, and your information passes through them so they can do their job for us. These include ElevenLabs, which powers our AI voice assistant and stores conversation recordings and transcripts; Cal.com, which we use to schedule calls; and Google, which we use for our calendar, email, and video meetings. These services only handle your information to provide their service to us. We share information with them for that purpose, and we may also share information if the law requires it.
How long we keep your information
We keep your information for as long as we need it to follow up with you, provide our services, and run our business, and then no longer than reasonably necessary.
Your choices and rights
You can ask us to show you what information we have about you, correct it, or delete it. Just email us at spencerlibby@offhandai.co and we will take care of it. Depending on where you live, you may have additional rights under your local privacy laws, and we will honor those.
Recording notice
Because our AI assistant may record and transcribe conversations, we let you know that up front here. Ava will also make clear that she is an AI. If you would prefer not to be recorded, you can reach us instead by email or through our contact form.
Security
We take reasonable steps to protect your information, and the outside services we use store data on their own secure systems. No method of storing or sending information online is perfectly secure, but we work to keep your information safe.
Children
Our website and services are meant for business owners and are not directed at children. We do not knowingly collect information from children.
Changes to this policy
We may update this policy from time to time. When we do, we will change the effective date at the top. If the changes are significant, we will do our best to make that clear.
